1. Who we are
Queen Bee Tutors LLC (“we”, “us”) is a tutoring agency that matches families in the UAE with independent tutors and manages lessons, scheduling and billing. We are registered in the Sharjah Media City (Shams) Free Zone, United Arab Emirates, Trade License No. 2646955, at Shams Business Center, Sharjah Media City Free Zone, Al Messaned, Sharjah, UAE.
We decide how and why your personal data is used, so we are the “controller” under the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) (“PDPL”). This policy applies to parents and guardians, students, tutors and tutor applicants, and visitors to qbtutors.com.
2. What we collect
Most of it you give us directly, for example through our tutoring request form, sign-up, or tutor application. Some is created as you use the platform.
- Parents and guardians: name, email, phone number, area or address for in-person lessons, your enquiry, billing details (including a tax registration number if you give one), your signed agreement, and messages with us.
- Students: name, date of birth, school, year group, curriculum, subjects, learning goals, availability and lesson mode or location; email address if the student has their own login.
- Tutors and applicants: name, contact details, CV, qualifications, subjects and rates, availability, identity and work-permit documents (Emirates ID, passport, MOHRE permit), tax registration, bank details for payouts, signed agreement, and our vetting notes. We may also ask for a police clearance or good conduct certificate, which is sensitive data.
- Lesson records: times, attendance, cancellations, homework, lesson notes, ratings and feedback. We do not record or transcribe lessons.
- Everyone who logs in: login email, encrypted password, and basic technical records such as sign-in times.
We do not ask for health information. If you choose to tell us about a learning need so a tutor can support your child, we use it only for that purpose and share it only with that child’s tutor.
3. How and why we use it
We use personal data only for the following purposes, relying on the legal grounds the PDPL allows (your consent, performing our agreement with you, meeting legal obligations, and establishing or defending legal claims):
- matching students with suitable tutors and sharing the relevant details with that tutor;
- scheduling lessons, sending reminders, and sharing lesson notes and homework with families;
- invoicing families, paying tutors, and keeping financial and VAT records, as UAE law requires;
- vetting tutors, including checking identity, work permits, qualifications and good conduct, to keep students safe;
- answering questions, handling complaints, and keeping the platform secure.
Where we rely on consent (for example, marketing emails, or tutor vetting certificates), you can withdraw it at any time. We do not sell personal data or use it for advertising. A member of our team makes every tutor match; no decision about you is made by a computer alone, and if automated processing ever affects you, you can ask for a human review.
4. Children's data
Most students are under 18. A parent or guardian signs up and provides the child’s details, and we collect a child’s data only with that parent’s or guardian’s consent. For children under 13, that consent is explicit and documented, can be withdrawn easily at any time, and we never use a child’s data for advertising, targeted marketing or profiling. A parent may give their child a student login, which shows only that child’s lessons and homework. A child’s details are shared only with our team and the tutors who teach that child. Parents may access, correct or delete their child’s data at any time (see section 9).
5. Who we share it with
- Tutors see what they need to teach: the student’s name, year group, curriculum, subjects, goals, availability and lesson location. Tutors are independent contractors bound by confidentiality under their agreement with us. Families see their tutor’s display name, profile and qualifications, and tutor profiles shown on our website are published with the tutor’s agreement.
- Service providers that process data on our instructions: our cloud database, file storage and login provider; our website and app hosting provider; our email delivery provider; and WhatsApp (Meta) where families and tutors choose to coordinate lessons through it.
- Authorities, auditors and advisers, only where the law requires, or to protect someone’s safety.
6. Transfers outside the UAE
Our database and files are stored in Ireland (EU). Emails are sent through a provider in the United States, and other providers may process data in other countries. Where data leaves the UAE, we rely on a ground the PDPL allows for such transfers: a contract requiring the provider to apply PDPL-standard protections, your explicit consent, or necessity to perform our agreement with you.
7. How long we keep it
We keep personal data only as long as needed, then delete or anonymise it.
- Invoices, payments and VAT records: for the period UAE tax law requires.
- Family and student accounts and lesson records: while the account is active, then 3 years after the last lesson.
- Tutor files, including ID documents: while the tutor works with us, then 5 years.
- Unsuccessful tutor applications and enquiries that do not proceed: 12 months.
If you ask us to delete your account, we delete what we can immediately and keep only what the law requires.
8. Security
Data is sent over encrypted (HTTPS) connections and passwords are stored encrypted. Access is limited by role: a tutor sees only their own students and a parent sees only their own family. Identity documents are kept in private storage open only to the tutor and our office team. If a breach puts your data at risk, we will notify you and the UAE Data Office as the law requires.
9. Your rights
Under the PDPL you may ask us to give you access to and a copy of your data (or your child’s); correct inaccurate data; delete it (unless we must keep it by law); restrict its processing; object to and stop processing, including for direct marketing; object to decisions made by automated processing; receive your data in a portable, machine-readable format; and withdraw consent at any time (this does not affect processing already carried out). You may also ask what data we process, why, with whom we share it inside and outside the UAE, and how long we keep it.
Email privacy@qbtutors.com to make a request. We may verify your identity first, and aim to reply within 30 days, free of charge for reasonable requests. If you are unhappy with our response, you may complain to the UAE Data Office.
10. Cookies
We use only cookies and similar technologies needed to keep you signed in and make the site work. We use no advertising or tracking cookies and no third-party analytics.
11. Changes and contact
If we make an important change we will email account holders and update the date above.
